About the Program

An Express Group is a flexible and convenient way to book group travel through Vacation Express without the need for a formal contract. A unique Express Code is generated and applied to individual reservations, linking them together so group amenities and benefits can be applied. This option is especially popular for small to medium-sized groups, such as weddings and family reunions, as it allows travelers to book at their convenience without requiring a large upfront deposit.

Express Groups offer several advantages, including flexible payment terms, reduced cancellation policies, and added value for travelers. Travel agents can create an Express Group by meeting the minimum booking requirements outlined by each hotel, requesting a code, and applying it to all reservations. It is important to monitor both minimum and maximum room requirements, as exceeding limits may require conversion to a contracted group.

Express Groups terms will be provided in the Express Code confirmation letter. All information is subject to change without notice, and hotels reserve the right to discontinue their participation in the program at any time. Blackout dates may apply.

Contract Requirement: A formal group contract is required for any group bookings exceeding the maximum room count listed for this property.

Express Groups Process
  1. Make the minimum number of bookings required at your selected hotel (5 rooms with a minimum of 10 passengers, or more based on the hotel requirements below).
  2. Complete the form at Express Groups Request Form to request your unique Express Group code.
  3. The Express Groups team will send you a confirmation letter along with your unique Express Group code.
  4. You must enter that Express Group code into all bookings that are part of your group.
  5. Approximately 45 days (or more) prior to departure, you will receive a recap of all bookings that have your code applied.
  6. Review the report from Vacation Express and verify that all applicable bookings include your code.
  7. If your group qualifies for room upgrades, you can advise our team which booking(s) the upgrades should be applied to.
  8. Once you confirm the report is accurate, your group will be submitted to the hotel.
  9. You may then contact the hotel directly to coordinate any special events or arrangements prior to your group’s arrival.
  10. After travel is complete, the Express Groups team will contact you to review any rebates or refunds your group earned and arrange payment accordingly.
