Vacation Express Offers More Flexibility on Future Travel

To help answer some of your questions, we've put together some frequently asked questions about Vacation Express' policies to help you book with confidence regarding the novel coronavirus COVID-19.

Vacation Express has listed several options for you to reschedule your vacation plans for the next few weeks. If you do not take advantage of these options and no-show for your flight or hotel, you will not be entitled to any future travel credit.

3/19/20 - Travel Update:

The United States State Department raised their Global Health Advisory to Level 4 – DO NOT TRAVEL. Full details of this warning are available on their website at https://travel.state.gov/.

As such, we highly recommend all passengers departing between 3/20/2020 and 3/31/2020 to reschedule their vacation.

All Vacation Express exclusive non-stop flights effective March 21 have been cancelled and are scheduled to start again on May 21. Passengers have the option to choose a voucher for future travel good through 12/31/2021 or a full package refund in the form of original payment.

Vacation Express exclusive, non-stop flights will operate northbound for clients currently in destination.

Since the State Department does not list an ending date to this, passengers traveling on commercial flights between now and March 31 may choose to receive a voucher for future travel good through 12/31/2021 or refund in the form of original payment for the hotel portion. Passengers will need to contact the commercial airline directly about their refund or rebooking policies for the airfare.

Passengers with hotel only bookings may choose to receive a voucher for future travel good through 12/31/2021 or full refund in the form of original payment.

For passengers traveling after March 31, the Relaxed Cancellation Plan also applies and is valid for travel through May 31, 2020.

Due to extremely high call volumes and long hold times, we urge you to email us at sales@vacationexpress.com. Please include your Reservation Number, Last Name and the option desired (refund or voucher). You will receive a response in 24-48 hours.

Q: What changes has Vacation Express put in place for final payment due date?

A: New bookings that were made in recent weeks already show a 15 day prior to departure final payment due date. For bookings made prior to that reflecting a 45 day prior due date, we are automatically extending your final payment due date to 15 days prior to departure. Even though you may still receive an automatic cancellation notice, note that internally, your reservation will not be cancelled and will be adjusted to reflect the new due date 15 days prior.

If you would like to book a trip that is traveling within 30 days our system cannot be changed to reflect the 15 days and therefore final payment is due at time of booking and you can make the booking online. In addition to the reduced final payment date, we have reduced the 100% cancellation penalty to 15 days or less prior to travel. Non-refundable hotel rates and scheduled air penalties will follow specific resort and airline policies.

Q: Does Vacation Express have a new cancellation program?

A: Yes, Vacation Express is offering a Relaxed Cancellation Plan for travel now through May 31, 2020. At this time, this program is available until March 31 and may be extended at a later date. Travelers must cancel 72 hours prior to their departure.

With the Relaxed Cancellation Plan you will receive a future travel voucher for the amount paid as outlined here:

  • Vacation Express Exclusive Non-Stop Flights [charter packages] receive a voucher for the amount paid.
  • Packages with air booked on a major air carrier [scheduled-air packages] receive ticket numbers for the air portion and a voucher for the land/hotel portion* paid.
  • Hotel-only packages [land-only] receive a voucher for the amount paid.
    PLEASE NOTE:
  • If you no show on your booking, you will not receive a credit to apply to a future trip. If you cancel your airfare, please reach out in advance for Vacation Express to process the cancellation.
  • The Relaxed Cancellation is for travel now through May 31, 2020. Currently this plan is only available until March 31.
  • Bookings must be canceled at least 72 hours prior to departure.
  • Vouchers are valid one time only to rebook for travel through December 31, 2021. PPP+ cannot be added to the rebooked package.
  • *Non-refundable land-only rates are at the individual hotels' discretion.
  • Bookings with Reduced Depots Plan [RDP] that have not paid in full do not qualify and are non-refundable. Bookings with RDP that have paid in full are eligible for the Relaxed Cancellation Plan.
  • Relaxed Cancellation Plan is only valid for individual reservations and Express Groups.

Q: What is Vacation Express doing for passengers traveling May 1-31, 2020?

For bookings traveling through May 31, 2020, if you want to reschedule your trip to a later date Vacation Express will not charge a Vacation Express change fee. To change your reservation please reach out to our Contact Center to change your booking. Airlines have different waivers at the moment and Vacation Express will have to charge airline change fees in accordance with their policies. For up to date information and to see whether a particular flight is eligible for a fee waiver please see the airline’s website directly.

Q: I can't get through to the Call Center. Is there any other way to contact VE?

A: Yes, please cancel online or email us at customercare@vacationexpress.com.

Q: Can I cancel my booking online and what happens once my booking is cancelled?

A: After logging in select cancel under the options tab to cancel your reservation. Note that this will send a request to our operations department. It may take up to 24 hours to process the cancellation however you may consider it cancelled once you select cancel. You will receive a cancellation invoice showing the details as to any remaining value of your cancelled booking. Please note that in all cases it is the agents or travelers responsibility to obtain their future travel credit from the commercial air carrier if applicable. Reservations that fall under the parameters for Relaxed Cancellation Plan will automatically be applied.

Q: If my destination is not listed with an update and I want to cancel?

A: If your destination is not listed on our updates page, based on the information we have, there has been no travel restriction imposed. If you cancel within the applicable time frame our Relax Cancellation Plan would apply.

Q: I purchased travel protection when I booked my package. How is this applied to my cancellation?

A: You will find Insurance and Other Services link located at the bottom of this page and also in your travel documents. All bookings can be cancelled online and no need to contact our contact center. Please see question above on steps to cancel your booking online.

Q: If I rebook a package for another date can I transfer the PPP+ that was on my original booking?

A: No. PPP+ is not available for new bookings except for Hotel Only bookings. The scheduled air portion is no longer covered under PPP+.

Q: My hotel has been closed. Can I get a refund?

A: Yes, you will receive some kind of compensation if the hotel you are booked at is closed.You have two options:

  • Wait until someone from Vacation Express reaches out to you to process your cancellation where you can choose either a voucher for future travel or a full refund in the form of original payment.
  • Cancel online yourself and receive a voucher for future travel.

Q: Are you changing your contact center hours?

A: Yes. In order to accommodate the higher call volume hours, we are changing our hours to 6:00am-12:00 midnight effective Friday March 20.

Q: My booking was cancelled, but I still have a question. Who do I contact?

A: If you have a general questions about your cancelled booking, please contact customercare@vacationexpress.com. Please note that it may take up to about 7 days to receive your voucher. Please be patient as we process these vouchers.

Q: I cancelled my booking online and want to receive a voucher. Do I need to do anything else?

A: No. The booking will take approximately 72 hours to cancel. Once that is completed, it will may take up to 7 days for you to receive your voucher. If it takes longer, please be patient.

Q: I have canceled my package with a commercial airfare. What do I need to do to get a future travel credit or refund?

A: Please contact the airline directlyYou will need your ticket number (most major airlines) or confirmation number (Spirit, Frontier and Sun Country).

The airline will either give you a future travel credit or a money refund.

  • If you receive a future travel credit, please rebook your air directly with the airline. Please note: some airlines will not allow you to rebook online with a future travel credit and you must call the airline directly to rebook.
  • If you receive a money refund, please confirm the refund amount with the airline as it could be less than the face value of the ticket. After you have spoken with the airline and they confirmed a refund, please email airrefunds@vacationexpress.com with your Vacation Express booking number, the airline, the last name of the passengers and the airline record locator number. Vacation Express will then verify we have received the refund from the airline and will process the payment to the customer. This could take two weeks or more due to the volume of requests.

For those who wish to have this process expedited, we recommend they take a future credit voucher.

Q: The airline canceled my flight. What do I need to do to get a future travel credit or refund?

A: Please reach out to the airline directly to find out if you are eligible for a refund or a future travel credit.

If you receive a future travel credit or a refund, you will need to follow the same steps as listed below.

  • If you receive a future travel credit, please rebook your air directly with the airline. Please note: some airlines will not allow you to rebook online with a future travel credit and you must call the airline directly to rebook.
  • If you receive a money refund, please confirm the refund amount with the airline as it could be less than the face value of the ticket. Q: I’ve called the airline about canceling my airfare and they said they cannot issue a refund or future travel credit for bulk or private tickets. What are bulk or private tickets and what should I do?

Bulk and private tickets are lower priced fares that Vacation Express has access to. Service levels at airlines can vary. In the event the airline says they are unable to assist you with bulk or private fares, please email us at customercare@vacationexpress.com with your Vacation Express booking number, the airline, the last name of the passengers and the airline record locator number.

Q: I’ve received a future travel credit from my airline. How do I rebook? Do have I have to go to the same destination?

A: If you received a future travel credit from an airline, please rebook the air directly with the airline. Check with the airline for any limitations on your credit. Most airlines allow you to use your credit for any destination. You will be responsible for any additional costs of the new tickets.

Q: I received a future travel credit from my airline, and I want to reschedule my Vacation Express package. What do I do to reschedule?

A: Rebook your air directly with the airline. Once your air is booked, call the Vacation Express Contact Center to reschedule the land portion of your trip. For trips now until May 31, 2020, Vacation Express will waive the rebooking fee for the hotel portion of your package. If the cost of the hotel has increased, the traveler will be responsible for the increased amount.

3/18/2020 - Travel Update:

Vacation Express is currently reaching out to all travelers who booked trips departing today through April 2, 2020 to advise that we are cancelling their vacation package. If your package includes a commercial flight, we will process a refund in the form of original payment for the hotel portion. You or your travel agent will need to contact the airline directly to inquire about a refund or rebooking policies. If your package includes a Vacation Express exclusive non-stop flight, we will process a full package refund to the original form of payment.
